Privacy policy

Head Office is a service for restaurants, operated by Open Hands Group LLC ("we", "us"). It checks vendor deliveries and invoices and helps the restaurant follow up with its vendors. This policy explains what information we handle, why, and what control you have over it.
What we collect
- Vendor invoices and order records the restaurant sends or forwards to us, including item lines, prices, vendor names, and vendor account details.
- Delivery photos the restaurant's team takes of deliveries, invoices and products.
- Team chat messages sent to Head Office through Slack or WhatsApp, along with the sender's name, user ID and phone number, so we know who reported or approved something.
- Vendor emails sent to or from the restaurant's Head Office email address.
- Contact details for the restaurant's owners, managers and staff who use the service, and for vendor reps the restaurant works with.
How we use it
Only to provide the service to the restaurant that sent it: checking deliveries against invoices, finding errors, drafting follow-up messages for the restaurant to approve, and sending the morning brief and weekly recap. We do not send a message to a vendor on a restaurant's behalf unless someone the restaurant has authorized approves it.
What we never do
- We never sell your information.
- We never use it for advertising.
- We never share phone numbers or messaging opt-in information with third parties for their marketing.
Who helps us run the service
We use a small number of service providers to host data, store files, send and receive email, deliver Slack and WhatsApp messages, and run AI models that read invoices and photos. They process information only on our behalf and only to provide the service. We do not allow them to use it for their own purposes.
We may disclose information if the law requires it.
How long we keep it
We keep a restaurant's information for as long as it uses Head Office. When a restaurant stops using the service, or asks us to, we delete its information.
Deletion and access
A restaurant, or anyone whose information we hold, can ask us to see, correct or delete it. Email [email protected]. We will confirm when it is done.
Messaging
Restaurant team members message Head Office on Slack or WhatsApp to report deliveries and approve follow-ups. To stop receiving messages from Head Office, reply STOP or tell us at [email protected].
Security
We use access controls and encrypted connections to protect your information. No system is perfectly secure, but we limit access to the people and providers who need it to run the service.
This website
This site uses no cookies, no analytics and no tracking. Our hosting provider may keep standard server logs, such as IP addresses, for security.
Children
Head Office is a business service and is not directed to children under 13.
Changes
If we change this policy, we will post the new version here with a new effective date.
